RSVP Etiquette: How to Ask & How to Reply
"RSVP" is short for the French répondez s'il vous plaît, which means "please respond." That's the entire etiquette rule buried in the acronym. It's a request, and the polite response is to actually reply, whether the answer is yes or no. Here's how to word the request as a host, how to respond as a guest, and how to handle the part everyone finds awkward: declining.
As a host: how to word an RSVP request
- Always include a deadline. "RSVP by May 1" gets far more responses than "please RSVP" with no date, since an open-ended request is easy to forget.
- Say why, briefly, if it helps. "RSVP by May 1 so we can finalize catering" gives guests a concrete reason, which nudges people who'd otherwise put it off.
- Make responding effortless. A one-tap RSVP link gets meaningfully higher response rates than "reply to this text" or "call me." Friction is the biggest reason RSVPs go unanswered, not indecision.
- Follow up once, kindly. A single gentle reminder a few days before the deadline, something like "just following up, would love to know if you can make it," is completely normal and not pushy.
As a guest: how to respond
Accepting
So excited, count us in! Can't wait to celebrate with you.
Accepting, with a dietary note
We'll be there! Quick note: I'm vegetarian, just wanted to flag it for catering.
How to decline politely (the part everyone avoids)
Declining feels awkward, but hosts genuinely need the number for catering, seating, and budget. An unanswered RSVP is worse than a polite no. The formula that works: thank them, state you can't make it, give a brief and optional reason, and wish them well. You don't owe a detailed explanation.
Declining
Thank you so much for the invitation! I won't be able to make it (I have a prior commitment that weekend), but I'll be thinking of you both and can't wait to hear how it goes.
Declining, more casual
Ahh I really wish I could make it but I'm out of town that weekend. Have the best time, send pics!
One more etiquette note specific to digital invitations: if the invite has "maybe" as an RSVP option, use it sparingly and only if genuinely uncertain. For the host, a firm no is more useful than an open-ended maybe, since it lets them plan around it.
Frequently asked
Is it rude to RSVP 'maybe'?
It's fine occasionally, since genuine scheduling conflicts happen, but as a rule of thumb, convert a "maybe" to a firm yes or no as soon as you know. An unresolved maybe close to the event date is harder on the host than a late no.
How late is too late to RSVP?
After the stated deadline, ideally respond within a day or two even if it's late. Hosts would rather have a late answer than none. If you're past the deadline, a quick apology ("so sorry this is late!") smooths it over.
Do I need to give a reason when declining an invitation?
No. A brief, non-specific reason, like "a prior commitment," is completely acceptable. You're not obligated to explain in detail.
